DESIGN OF THOMAS RISLEY ODHIAMBO [TRO] CONFERENCE FACILITY 2023 – ICIPE

ICIPE TENDER OCTOBER 2023 

1. The International Centre of Insect Physiology and Ecology [Icipe] is an intergovernmental organisation headquartered in Nairobi, Kenya that carries out research and training in sustainable management of insects [arthropods] for improving comprehensive health and agricultural productivity in the tropics ( www.icipe.org ).
2. Icipe wishes to carry out refurbishments to the existing TRO Conference facility and its adjoining meeting rooms, stores, reception area, kitchenette, washrooms and roof structure currently holding solar panels. The facility is approximately 250SM and it has been in existence for over 28 years. The task will include reconfiguration of the existing conference main hall and the adjoining meeting rooms to meet international conference hall standards. This shall be achieved among other things, upgrade of the existing floor finishes, installation of a false ceiling and creation of a raised podium and a control room. The refurbishments shall also seek to address roof leakages, upgrading of the existing kitchenette, replacement of washroom fittings and control of noise spread. The envisaged new works shall also include mechanical air conditioning and ventilation systems, new light fittings and power socket outlets, a state-of- the-art video conferencing system and digital projectors that use cameras to give 3D images and surround sound speaker systems. We also seek to enhance the WI-FI speed connection and bandwidth that allow multiple users to work alongside during meetings. These works are to be done within safe construction procedures with minimum interruptions to the ongoing research activities.
3. Icipe now invites Expression of Interest from eligible firms who are able to demonstrate both technical and financial capability to carry out professional designs and generate a tender package that shall include, working drawings [Architectural, Mechanical and Electrical], materials/work specifications and Bills of Quantities that shall be derived from available concept notes.
4. Interested parties MUST provide the following documentation that will form the basis for evaluation and qualification:
5. a)Cover letter that must be certified by the company representative with active contact details [name of contact person, email & phone number, website] and office location.
6. b)Certified copy of company registration certificate. Must have been in business for the last five [10] years.
7. c)Statutory registration certificates to include – [KRA Pin Certificate, Certificate of Incorporation, VAT compliance certificate].
8. d)Curriculum Vitae for at least five [5] qualified technical personnel and at least one [1] director who will oversee this project. The technical person[s] must have certified copies of valid professional practicing licenses issued by the Architectural Association of Kenya [AAK], The Engineers Institute of Kenya [EIK] and the Board of Registration of Architects & Quantity Surveyors [BORAQS] Kenya.
9. In addition, interested parties MUST Provide reference of at least five [5] projects completed within the last five [5] years. This should be in tabular format and MUST include:
10. i)Name and location of the client
11. ii)Title of the project

iii)   Project cost of at least US$ 500K.

3. The Expression of Interest must be delivered to the address below on or before 11:00 hours East Africa Time on Monday, 6^th  November 2023. The submission printed and spiral bound original documentation in hard copy with each page signed by an authorised representative and an official seal and must be in a sealed envelope clearly marked ‘Expression of Interest in the Design of TRO Conference Facility No. E0l/EA-/c/pe001/2023’ and addressed to the official address under nine [9], below.
4. Electronic submissions shall not be permitted. Late submissions will be rejected. The submission shall be opened in the presence of representatives of those submitting at the address below, on 6th November 2023 at 11:00 hours at Duduville Campus Kasarani in the Hive meeting room.

6. a)Any information provided by the bidding party will form the basis of any contract that may be entered into between Icipe and the bidder.
7. b)Icipe  shall not be liable for or be required to pay any costs, expenses or losses that may be incurred by the bidding party in the preparation of their EOI.
8. c)Icipe  reserves the right to accept or reject any proposal without assigning any reasons thereof.
