TENDER FOR SERVICING AND MAINTENANCE OF PRINTERS AT KENYA PLANT HEALTH INSPECTORATE SERVICE
1. The Kenya Plant Health Inspectorate Service (KEPHIS) invites sealed tenders for Servicing and Maintenance of Printers.
Lot I – Toshiba E- Studio Printers
Lot II – Xerox WC7225 Printers
Lot III – Samsung and Ricoh Printers
2. Tendering will be conducted under open National tender using a standardized tender document. The tender
is opento all eligible bidders who meet the indicated criteria.
3. Bidders are free to quote for any of the LOTS or all the LOTS, award will be per LOT.
4. Qualified and interested bidders may obtain further information and inspect the bidding documents
during office hours at Supply Chain Office at the Kenya Plant Health Inspectorate Service
(KEPHIS) Headquarters on Oloolua Ridge Off Ngong Road, Karen between 8.00am and 5.00pm
Kenyan Time, Monday to Friday except lunchtime between 1.00pm to 2.00pm and on public
holidays.
5. Tender documents may be obtained electronically from the Website www.kephis.org or
www.tenders.go.ke. Tender documents obtained electronically will be free of charge. Tenderers who
download the tender document must forward their particulars immediately to supplies@kephis.org
to facilitate any further clarification or addendum.
6. All Tenders must be accompanied by a tender Security of Kenya Shillings seven Thousand (Kshs. 6, 500) in
form of a bank guarantee from a reputable bank or an insurance guarantee issued by an insurance firm
approved by the PPRA located in Kenya.
7. Only valid for 150 days from the date of tender opening.
8. The Tenderer shall chronologically serialize all pages of the tender documents submitted
9. Duly completed tender documents should be submitted in a plain sealed outer envelope enclosing separately
sealed envelopes (in “Original” and “Copy”) clearly marked Tender No. KEPHIS/T/02/2024-2025 for servicing
and maintenance of printers at KEPHIS and shall be addressed to:

And be deposited in the Tender Box located at the main Reception, Oloolua Ridge, Off Ngong Road on
Tuesday,24 th September, 2024 at 10.30 a.m. Tenders will be opened immediately thereafter on the closing
date in the presence of the tenderer’s representatives who choose to attend the tender opening in the meeting
room.
10. Late Tenders, incomplete Tenders, Tenders not received, Tenders not opened at the Tender opening ceremony
shall not be accepted for evaluation irrespective of the circumstances.
11. KEPHIS reserves the right to accept or reject any tender and may annul the tendering process and reject all
tenders at any time prior to contract award without thereby incurring any liability to the affected tenderer or tenderers.
